The Telstra Brand team needed a method of gatekeeping the usage of their internal content processing system, COSI, without slowing down the process with unnecessary bureaucracy. From this, the Booking Form system was developed - designed to discern the type of promotion that the user wanted to deliver, what their end goal is and what physical assets would be required to achieve their desired solution.

Collecting only as much information as necessary, the Booking Form alerts admin users to new requests and automatically builds timelines for the review, approval, build, test, deployment and shut down of each COSI promotion. A series of email workflows after the booking is submitted keeps the requester across the approvals chain, and throughout the life of the promotion, alerting them when the promotion is online and right before it goes offline, in case they wish to extend it. At the end of a promotion the system requests report details from the promotion lead, which is returned to the original requester so they can review their results and ensure KPIs were met.

The system is designed with a real-time flow of information in mind, providing at-a-glance stats on where all bookings and requests are currently sitting in the system workflow. As admin users engage with booking requests, a log of their activity, changes and comments is displayed to ensure easy collaboration.
